Interpretation program oversight for hospitals

We check before the surveyor does.

Apex Assists is your hospital's single point of accountability for interpretation. We audit vendor invoices, review usage every month and inspect your OPI and VRI devices in person every quarter, for a fraction of the cost of an in-house language services manager.

The blind spot

Nobody is checking. Until someone has to.

Most hospitals have never had anyone independently look at their interpretation program. Three questions usually go unanswered.

Do the invoices match usage?

Vendor bills get paid every month, but almost no one compares them line by line to the minutes, rates and minimums the hospital agreed to.

Do the devices still work?

VRI carts and OPI phones sit on units for years. Dead batteries, broken cameras and bad connections go unnoticed until a patient is waiting.

Who owns the program?

Interpretation falls between nursing, finance, compliance and IT. With no one accountable, problems surface only when a complaint or survey forces them.

Usually no one finds out until a Joint Commission survey or a patient complaint. Apex Assists makes sure you find out first.

Every invoice

Audit vendor invoices.

We check each interpretation invoice against your actual usage and your contract before you pay it.

  • Minutes billed vs. minutes logged
  • Correct per-minute and per-hour rates
  • On-site minimums, cancellations and no-shows
  • Disputes raised with the vendor for you

Every month

Review usage.

A plain-language monthly report for your leadership team showing how interpretation is really being used.

  • Usage by language, department and modality
  • Connect times and unfilled requests
  • Spend trends and vendor performance
  • Units that may be under-using interpreters

Every quarter, in person

Inspect every device.

We walk your units and physically test every OPI phone and VRI cart, so they work the moment a nurse needs one.

  • Power, battery, camera, audio and connection test
  • Device is where it should be and clearly labeled
  • Staff on the unit know how to start a call
  • Failures logged and repairs followed to completion
One point of accountability

One call instead of five departments.

Nursing, finance, compliance, IT and your vendors each hold a piece of interpretation. Apex Assists holds the whole program, so your team has one place to go and one partner who answers for it.

Manager-level oversight. Without the full salary.

An in-house language services manager is a full-time salary plus benefits. Apex Assists covers the same oversight work for a fraction of that cost.

For your nurses

Give nurses their time back for patients.

Today, when a VRI cart won't connect or a vendor bill looks wrong, it often lands on a charge nurse or unit manager. That's time away from the bedside.

Apex Assists takes interpretation management off nursing's plate. Your nurses get devices that work and one number to call, and can focus on what matters most: caring for patients.

Questions

Good questions.

Do you replace our interpretation vendors?

No. Apex Assists works alongside the vendors you already use. We check their invoices and performance on your behalf and help you hold them to your contract.

What do you need from us to start?

Copies of recent vendor invoices and contracts, any usage reports your vendors provide, a list of your OPI and VRI devices, and a contact on each unit for our quarterly walk-through.

What happens when a device fails inspection?

We log it, tell the unit, and coordinate the repair or replacement with your vendor or biomedical engineering team. We follow it until the device is working again.

Will you see patient information?

Some invoices and usage logs include encounter details. We handle them under a business associate agreement and only use them to audit your program.

How is Apex Assists priced?

A flat monthly fee based on your hospital's size and number of devices, at a fraction of the cost of an in-house language services manager. We'll give you an exact price after the program review call.
